Information on participation
General information
As a further supporting measure for the internationalization of universities, further education and training measures for university staff (teaching and administration) at European universities and at foreign companies/institutions are possible.
A "company" is defined as a business operating in the public or private sector, regardless of size, legal form or economic sector, including the social economy.
Stays abroad should last a minimum of two days and a maximum of two months.
The aim of the measure is to actively contribute to the internationalization process of the administration of the home university through a stay abroad, in addition to the professional exchange on administrative processes in their own field of work and the personal development (e.g. intercultural competence and foreign language skills) of university staff. This mobility puts university staff in an even better position to meet international standards in the supervision of students, visiting academics and staff.
Prerequisites
Contact with the foreign university or company is made by the participant themselves in consultation with the International Office.
- Funding is available for stays at Erasmus+ partner universities of Fachhochschule Dortmund and other universities in program countries
- The university must be in possession of an ERASMUS+ University Charter (ECHE)
- An Inter-Institutional Agreement for Staff Mobility (ST) should be concluded with the partner university
- A written agreement on the content and scope of the program must be concluded with the partner university ("Work Plan"). The agreement must be signed by the employee, the supervisor, the Erasmus+ university coordinator and the host university before the start of the trip.
- Duration of stay: minimum 2 working days, maximum 2 months.
Deadlines, organization and application
The application must be submitted in the Mobility Online portal up to 6 weeks before departure.
You will need
- a copy of the business trip application approved by your line manager(s) (PDF)
- If applicable, attach the program of the event (PDF)
- Confirmation from the partner university/company (e-mail is also sufficient) that you have been accepted, stating the exact dates of your visit
You will then receive a funding agreement, which you should sign and hand in to Ms. Hösch at the International OFfice before you start your trip.
No later than 4 weeks after your return, please upload the final certificate of staff mobility (Confirmation, see documents in the right-hand column) required for payment in Mobility Online.
You must also complete an EU Survey online survey. The link will be sent directly to the employee by e-mail from the EU Commission.

Training and further education purposes (STT)
Erasmus+ enables further education and training measures for university staff in programme countries to expand internationalization.
This activity promotes professional development through training measures abroad (except conferences*) and work shadowing at a partner higher education institution or at relevant institutions abroad.
For further education and training purposes, university staff from a German higher education institution with ECHE may be funded to a host higher education institution with ECHE or another institution based in another program country that is active in the labor market or in the fields of education, training or youth.
The stays abroad last at least two days and a maximum of two months.

You have the chance to take a closer look at individual institutions, such as the International Office, the budget or finance department, the student offices, libraries or the press office, to get ideas for your work at Fachhochschule Dortmund, to get to know the staff of the partner university personally and to make important contacts for further cooperation.
*As long as it can be proven that new and innovative learning and teaching practices are acquired during the mobility, the activity of the participating person during the event plays a subordinate role for eligibility. The type of event is more important: participation is not eligible if it is only dedicated to a specific discipline.
Subsidies
Reimbursement of costs
- Reimbursement of travel expenses
- Reimbursement of accommodation costs in the amount of a daily EU rate graduated according to the destination country
- Special funding is available for people with disabilities and single parents.
Financial support for Erasmus mobility for teaching purposes or for further education and training is subject to the availability of funds and is based on the different costs of living in the destination countries ("program countries").
Uniform daily rates/unit costs apply for funding by German universities.
For Germany, fixed unit costs apply for four groups of countries up to the 14th day of the stay; from the 15th to the 60th day of the stay, funding amounts to 70% of the stated unit costs. These are made up as follows (stated as unit costs of the activity per day per participant (excluding travel day)):

In addition to these unit costs, from project year 2024/25 there will be 1 flat-rate travel day and travel costs depending on the real distances between the place of departure and destination of the mobility, which will be determined uniformly throughout Europe using a calculation tool(Opens in a new tab) .

Please note that travel days, weekends and public holidays in the destination country cannot be funded.
There is no reimbursement of travel expenses under the LRKG NRW.
Note on business trip accounting
There is no reimbursement of travel expenses under the LRKG NRW, as you will be paid unit costs.
If you would still like to submit a business trip statement because the travel costs are higher than the Erasmus+ funding, please select "Partial" under "Reimbursement by third parties" in the business trip application. A copy of the funding agreement must then be attached to the accounting documents.
Note on tax law
The Erasmus+ mobility grant includes accommodation and travel costs, which are subsidized by the EU Commission / DAAD as unit costs. The grant recipient is obliged to personally pay tax on any positive differences between real costs and unit costs.
